Proof of delivery
What a POD is, what it should show, and how 360 provides it.
A proof of delivery is the record that the freight arrived: who took it, at what time, how many pallets, and whether anything was damaged. It closes the delivery, starts the invoice, and settles most arguments before they start.

Quick answer
What is a POD?
A POD, proof of delivery, is the record that the freight was handed over, and it should show the receiver's name and signature or a timed photo, the time, the count delivered and the condition on arrival, with a note and a photo for anything damaged or short. 360's driver captures it at the door and it is emailed after the delivery with the consignment reference, which is what DIFOT, the invoice and any dispute are settled from.
What it shows
What should a proof of delivery show?
- The consignment reference and the pickup and delivery addresses.
- The receiver's name and signature, or the alternative record when a site will not sign (a photo of the freight at the door with the time).
- The date and time the freight was handed over.
- The count delivered: pallets, or cartons on a hand unload.
- Condition on arrival, with a note and a photo if anything was damaged, short or refused.
- The driver and the vehicle.
A signature alone is not a proof of delivery; a signature with a time, a count and a condition note is. The photo matters most on unattended drops and on anything that was damaged before the truck arrived.
| On the POD | Why it is there | Without it |
|---|---|---|
| Consignment reference and both addresses | Matches the delivery to the order and the invoice | A delivery nobody can tie to an invoice, so the invoice query stays open |
| Receiver's name and signature, or a photo with the time | Proves who took the freight, or that it was left where agreed | Your word against theirs on whether it arrived |
| Date and time of handover | Measures the delivery against the booked window | DIFOT argued from memory |
| Count delivered | Proves what arrived, pallets or cartons | A short delivery claim with nothing to check it against |
| Condition note and photo | Records damage, shortfall or refusal at the door | The carrier, the sender and the receiver each have a version |
| Driver and vehicle | Ties the record to the run | A query weeks later with nobody to ask |
How 360 does it
How does 360 provide the POD?
- 01Captured at the doorThe driver records the receiver's name, the signature or the photo, the time and the count at the point of handover, on the delivery app, with a note and a photo for any damage or shortfall.
- 02Sent once the delivery is doneThe POD goes to the email on the booking after the delivery, with the consignment reference, so it can be matched to your order and to the invoice.
- 03Kept with the jobThe record stays with the consignment, so a query weeks later is answered from the POD rather than from memory.
Every run on the fleet is sequenced to the delivery window with proof of delivery on every drop; the POD is the last step of the run, not an extra.
Using it
What do I use a POD for?
DIFOT. Delivered in full, on time, is measured from the POD: the time against the window, the count against the order. A business arguing about its DIFOT without PODs is arguing about memories. What does DIFOT mean, and how to lift it.
Invoicing. A POD attached to the invoice is the line that stops the query. Customers who pay on delivery evidence pay faster when the evidence arrives with the invoice.
Disputes. Short, damaged or refused: the POD's note and photo say what arrived and when, and the pickup record says what left. Without both, the carrier, the sender and the receiver each have a version.
Getting a number
Every drop comes with its POD.
Quote the lane, book the run, and the proof of delivery arrives after the handover with the consignment reference on it. Say if your receiver has its own POD form and the driver completes that one too.
Questions about proof of delivery
What is a POD?
Proof of delivery: the record that the freight was handed over, showing who received it, when, how much and in what condition. It closes the delivery and supports the invoice.
Does a signature count as proof of delivery?
A signature with the time, the count and a condition note does. A signature alone does not tell you when the freight arrived or whether it was complete.
What if nobody is there to sign?
On an authorised unattended drop the driver records a photo of the freight at the agreed spot with the time, and that photo is the POD. Unattended drops are only made when the booking says so.
When do I get the POD?
After the delivery is done, by email to the address on the booking, with the consignment reference so it matches your order and the invoice.
Can the driver complete our own POD paperwork?
Yes. Say so on the booking and the driver completes the receiver's form as well as ours.
How long are PODs kept?
With the job, so a query weeks or months later is answered from the record. Ask for a copy with the consignment reference.
